From Chaos to Clarity: The Evolution of WildApricot Accounting and the Birth of AccountBridge™

For non-profit organizations, the gap between a successful event and a successful fundraiser is often found in the ledger. It’s a story as old as time: passionate people doing great work, while the back-office accounting trails behind like a tangled ball of yarn.

Our journey to bridge this gap began with a simple realization: membership management software like WildApricot is brilliant for membership communities, but its “conversation” with QuickBooks has historically been a game of broken telephone. This is the story of how we moved customers from manual data entry to a streamlined accounting future with AccountBridge™.

The “Aha” Moment: The Golf Tournament Fundraiser

The catalyst for this evolution wasn’t a boardroom meeting; it was a golf tournament. Specifically, one hosted by the Mechanical Contractors Association of British Columbia (MCABC).

Kim, the Executive Director, sat in a virtual conference call, surrounded by the energy of a “successful” event. Hundreds of golfers had attended, sponsorships were sold, and the vibes were high. But when the inevitable question came up—“How much did we actually make?”—the room went silent.

Kim didn’t know.

It wasn’t for lack of effort. Thousands of dollars had flowed through WildApricot in the form of registrations, sponsorships and mulligan sales. Meanwhile, invoices were being cut in WildApricot, and credit card fees were being deducted at the source. And the fundraiser expenses were recorded in QuickBooks. Because the two systems weren’t talking, Kim couldn’t tell if the association had cleared a profit or accidentally subsidized a very expensive day on the green for 144 golfers. For a non-profit, this isn’t just a headache; it’s a risk to the mission.

Phase 1: Building QuickBooks for WildApricot

We knew we had to stop the “swivel-chair” accounting—the process of looking at one screen and typing into another. We turned to Make.com to build the first-ever custom automation for MCABC.

Most off-the-shelf connectors are “dumb.” They push a name and a total amount, but they fail to handle the nuances of non-profit life. And they aren’t automated depending on people pushing data through a manual and error prone process. We built a logic engine that watched WildApricot for any “Paid” or “Unpaid” invoices and performed a synchronization of payment and customer data. 

We moved beyond simple totals to Granular Mapping. We realized that a single WildApricot invoice is a multi-headed beast, and our Make.com integration needed to treat it as such. We engineered the bridge to dissect every line item and distribute it with surgical precision into the QuickBooks Chart of Accounts:

  • Revenue Sourcing: We mapped specific membership levels (Student vs. Corporate), event registrations, and donations to their own distinct revenue accounts.
  • The Online Store: We ensured physical product sales were segmented from digital services or membership dues.
  • “Extra” Costs & Add-ons: If a member bought a ticket plus a $20 “Print Magazine Subscription” or a $50 “Carbon Offset,” the system can split those costs into separate ledger accounts automatically.
  • Automated Class Tracking: By tagging an event or online store item in WildApricot, the system can optionally apply a QuickBooks Class. This allowed Kim to run a “Profit & Loss by Class” report instantly to see the exact margin on the golf tournament.

The new automated system transformed accounting from a manual burden to a seamless workflow, freeing up staff time. Deep integration with WildApricot and QuickBooks eliminates “swivel-chair” accounting by instantly and accurately mapping every transaction to the correct chart of accounts, class, and tax line item. This continuous synchronization drastically reduces manual entry, errors, and month-end reconciliation, allowing staff to focus on mission-critical work. And it saves tons of money if you pay someone to do this work manually. 

Phase 2: From Custom Build to AccountBridge™

The success at MCABC proved that the logic worked, but it was still a “bespoke” solution. Over 50 WildApricot customers happily paid a $3000 install fee and about $200 per year for the Make.com license and a software license for our automation scenarios. 

Our next mission was to democratize this technology to all WildApricot customers. We wanted to make it as inexpensive as possible to eliminate the dependency on bookkeepers and accountants or the “hope and a prayer” method used by volunteers. We also wanted to ensure customers had an easy and friendly way to configure, test and import historical data from any computer.

This led to the creation of AccountBridge™.

We took the complex Make.com architecture and “productized” it. We shifted the focus to providing “software as a service.” By standardizing the mapping process, we reduced the setup time from weeks to hours. Our goal was simple: make the software more affordable than the cost of a bookkeeper’s single afternoon.

Because every transaction—from a golf mulligan to a corporate sponsorship—is already mapped to the correct category and class, the system will be able to generate a draft Form 990 or T3010.

Your accountant won’t spend 20 hours fixing your books and creating a tax return; they’ll spend one hour reviewing and auditing a perfectly organized file.
